Refund & Cancellation Policy

1. Introduction

This Refund & Cancellation Policy ("Policy") explains how subscription billing, renewals, cancellations, downgrades, refunds, and account closure work for EazzyBook ("EazzyBook," "we," "us," or "our"), an online booking and business management platform available at www.eazzybook.com.

This Policy applies to businesses and authorized users who subscribe to EazzyBook plans, including Free, Professional, and Enterprise tiers. It should be read together with our Terms & Conditions and Privacy Policy. By purchasing or continuing a paid subscription, you agree to the practices described here.

2. Subscription Plans

EazzyBook offers multiple subscription tiers designed for appointment-based businesses such as salons, clinics, consultants, coaches, agencies, and service providers:

  • Free Plan: Limited access to core booking, customer management, and platform features at no charge, subject to usage limits and feature restrictions.
  • Professional Plan: Expanded access to advanced scheduling, forms, reminders, staff management, discounts, analytics, automations, and integrations.
  • Enterprise Plan: Enhanced capabilities, higher usage limits, priority support, and features suited to larger teams or multi-location operations, as described on our pricing page or in a separate agreement.

Plan features, limits, and pricing may change from time to time. Current plan details are published on our website or presented during checkout.

3. Monthly Billing

Monthly subscriptions are billed in advance at the beginning of each billing cycle. Your payment method will be charged on or around the same calendar day each month based on the date you first subscribed, unless you cancel before the next renewal date.

Monthly plans provide flexibility for businesses that prefer shorter commitment periods. Fees are generally non-refundable once a billing cycle has begun, except as described in this Policy or where required by applicable law.

4. Annual Billing

Annual subscriptions are billed in advance for a twelve-month period. Annual plans may offer discounted pricing compared to monthly billing. By selecting annual billing, you authorize EazzyBook to charge the full annual amount at the start of the subscription term.

Unless otherwise stated at checkout or in a written agreement, annual subscription fees are non-refundable for unused months after purchase. If you cancel an annual plan before the end of the term, you may retain access until the end of the paid period, but partial refunds are not typically provided.

5. Free Plan and Trial Periods

The Free Plan does not require payment and may be used subject to applicable feature and usage limits. We may offer promotional trials or limited-time access to paid features. Trial terms, duration, and eligibility will be disclosed at the time of enrollment.

At the end of a trial period, your account may automatically convert to a paid subscription unless you cancel before the trial expires. You are responsible for managing trial settings and cancellation timing to avoid unwanted charges.

6. Automatic Renewals

Paid subscriptions renew automatically at the end of each billing cycle (monthly or annual) unless you cancel before the renewal date. By subscribing, you authorize EazzyBook and our payment processors to charge your selected payment method for recurring fees, applicable taxes, and any add-ons associated with your account.

Renewal charges are processed using the payment method on file. It is your responsibility to keep billing information current and to review renewal notices, invoices, and account settings.

7. Cancellation Process

You may cancel a paid subscription at any time through your EazzyBook account settings or by contacting support@eazzybook.com. Cancellation stops future renewals but does not automatically entitle you to a refund for the current billing period.

After cancellation, you will generally retain access to paid features until the end of the active billing period. Once the period ends, your account may be downgraded to the Free Plan or deactivated according to your settings and plan terms.

You are responsible for exporting bookings, customer records, form submissions, analytics data, and other business information before cancellation if you wish to retain them.

8. Refund Eligibility

Except where required by applicable law or expressly approved by EazzyBook, subscription fees are non-refundable. In limited circumstances, we may consider refund requests, including:

  • Duplicate charges or confirmed billing errors caused by EazzyBook or our payment processor.
  • Unauthorized transactions reported promptly and verified after investigation.
  • Service unavailability attributable solely to EazzyBook for a prolonged period, as determined by us in our discretion.
  • Other exceptional circumstances reviewed on a case-by-case basis.

Approval of any refund is at EazzyBook's sole discretion unless a mandatory legal right applies.

9. Non-Refundable Situations

The following are generally not eligible for refunds:

  • Partially used monthly or annual subscription periods.
  • Downgrades from a higher-tier plan after renewal.
  • Failure to cancel before an automatic renewal date.
  • Dissatisfaction with features that were available as described at the time of purchase.
  • Issues caused by third-party integrations, including payment gateways, email providers, SMS providers, or calendar systems.
  • Account suspension or termination due to violation of our Terms, abuse, fraud, or unlawful activity.
  • Add-on purchases, setup services, or custom enterprise arrangements unless otherwise stated in writing.

10. Duplicate Charges

If you believe you were charged more than once for the same subscription period, contact us within thirty (30) days of the charge with your account email, transaction date, and payment reference. After verification, we will issue a refund for the confirmed duplicate amount or apply an account credit, at our discretion.

11. Billing Errors

If you identify an incorrect charge, such as being billed for the wrong plan or tax amount, notify us promptly. We will investigate and, where appropriate, issue a correction, refund, or credit. You must provide sufficient information to allow us to review the transaction with our payment processor.

12. Failed Payments

If a payment fails, we may retry the charge, notify you by email, and temporarily restrict access to paid features until payment is successfully processed. Repeated failed payments may result in downgrade, suspension, or termination of paid functionality.

You remain responsible for any outstanding amounts, including applicable taxes and unpaid renewal fees incurred before cancellation takes effect.

13. Account Downgrade Rules

When a paid subscription ends or is canceled, your account may be downgraded to the Free Plan. Downgrading may result in loss of access to advanced features such as expanded automations, staff limits, analytics history, custom branding, or integration capacity.

Data associated with unavailable features may become read-only, hidden, or subject to retention limits. You are responsible for reviewing plan limits before downgrading and for exporting data that may no longer be accessible under the Free Plan.

14. Service Suspension Due to Non-Payment

We may suspend or limit access to paid features if payment is overdue, your payment method is invalid, or a chargeback is initiated. During suspension, you may be unable to access certain booking tools, send reminders, or use premium integrations until the account is brought current.

Suspension does not relieve you of payment obligations for amounts already due. We may permanently terminate accounts with prolonged non-payment after reasonable notice.

15. Account Closure

You may request account closure by contacting support or using available account settings. Closure is subject to settlement of outstanding balances and compliance with our Terms. Upon closure, access to the platform, booking pages, hosted forms, and stored business data may be disabled.

EazzyBook may retain billing records and limited account information as described in our Privacy Policy for legal, tax, fraud prevention, and operational purposes.

16. Refund Processing Timelines

Approved refunds are typically processed to the original payment method within seven (7) to fourteen (14) business days, depending on your bank or card issuer. Processing times may vary for international payments or enterprise billing arrangements.

We will notify you by email once a refund has been initiated. If you do not see the credit after the stated period, contact your payment provider before reaching out to us again.

17. Chargeback Policy

If you dispute a charge with your bank or card issuer without first contacting EazzyBook, we may suspend your account while the dispute is investigated. Filing a chargeback for a valid subscription charge may result in immediate loss of access and additional administrative review.

We encourage you to contact support@eazzybook.com before initiating a chargeback so we can resolve billing concerns directly.

18. Exceptional Circumstances

EazzyBook may, in its sole discretion, provide credits, extensions, or refunds in exceptional situations such as documented platform outages, billing system errors, or other circumstances not contemplated by this Policy. Any such remedy is voluntary and does not create an obligation to provide similar treatment in the future.

Enterprise customers with executed agreements may be subject to separate refund, cancellation, and service-level terms that supersede this Policy where expressly stated.
